  TODAY’S BUILD

Build a workflow that automates your meeting follow-ups

Many meetings leave you with a list of follow-up tasks. Afterwards, there's usually a lot of work to do: updating systems, sending follow-up emails, and figuring out what needs to happen next.

But what if you could automate all of that?

For this week's build, imagine you're working in sales. We're going to build an AI-powered workflow that reviews your sales calls and automatically decides what happens next.

Using Granola and Zapier, you'll build a workflow that sorts your calls into three categories (Qualified, Nurture, or No Fit) and sends each one down the right path.

No coding required. Just follow along, step by step.

Time to build 💪

A flow diagram: a sales call ends, AI sorts the lead against your criteria, and it goes to Slack, Google Sheets or Gmail

Before you start

✓  A Zapier account. New accounts get a 14-day free trial of the Professional plan, so you can build and test this workflow for free. After the trial, you'll need a paid plan to keep this multi-step automation running.
✓  Granola Business plan and desktop app to connect Granola to Zapier. Using Granola's free plan? You can follow along with Google Docs instead (see step 2 below).
✓  A Slack channel for qualified leads, a Gmail account, and your own copy of our Nurture leads sheet. The link automatically creates a copy for you.
✓  Some sales calls to test with. Don't have any? Use our three sample calls, one for each outcome: Qualified, Nurture and No fit

Let's build it

Step 1

Put your calls in a Granola folder

In Granola, create a folder called Qualification calls. After each sales call, move its meeting notes into this folder. Later, you'll connect this folder to Zapier so new meeting notes can trigger your workflow. Only notes added after the Zap is set up will trigger the automation, so your existing notes won't be processed automatically.

Want to test it without a real sales call? Click New Note in Granola, paste in one of our test transcripts, and move the note into the folder. Zapier will process it just like any other meeting note.

Step 2

Start a Zap with Granola as the trigger

Open Zapier and create a new Zap. Search for Granola and select Note Added to Granola Folder as the trigger. A trigger is the event that starts your automation. Connect your Granola account, name your Zap something like Route sales calls, and select the Qualification calls folder you created in step 1. Then test the trigger to pull in a meeting note you can use in the next steps.

Not using Granola? You can use Google Docs instead for this lesson. Select Google Docs and New Document as your trigger, then connect your Google account. Open one of our test calls in Google Docs and select File > Make a copy. Return to Zapier and test the trigger using your new document. In step 3, replace both Granola fields in the AI prompt with the File Raw Plaintext Content field from Google Docs.

Step 3

Add an AI step with your criteria

Now let's add AI to review each sales call and decide what should happen next. Add an AI by Zapier step and paste in the prompt below. The AI will use the criteria in your prompt to classify each call as Qualified, Nurture, or No Fit. Feel free to adjust these criteria to match how your team qualifies leads.

In the prompt, type / to replace [Summary] and [Transcript] with the corresponding Granola fields. This is called field mapping: using data from an earlier step in your workflow.

Then create four output fields: Decision, Reason, Summary, and Email. These let Zapier use each piece of information separately in the next steps. Since this step only processes text, you can select the Standard model to keep task usage down.

>_ COPY THIS PROMPT

You're helping a sales rep decide what happens after a qualification call. Read the call notes and the transcript, then judge the lead against our criteria.

Call notes: [Summary]
Transcript: [Transcript]

Our criteria:
- Qualified: they have a problem we solve, budget this year, want to start within three months, and can sign off or will bring in the person who does
- Nurture: interested, but no budget or no timing yet
- No fit: no real problem, or the wrong size of company for us

Fill in four fields:
- Decision: exactly one of Qualified, Nurture or No fit, with nothing else
- Reason: one sentence explaining the decision. For Nurture, say when to follow up.
- Summary: three or four lines a colleague could act on, including any next step agreed on the call
- Email: for No fit only, a short, polite email thanking them for their time and closing the conversation. Leave it empty otherwise.

Step 4

Send each decision down its own path

First, test your AI step and check whether the Decision matches your criteria. If it doesn't, adjust your prompt and test again.

Next, add a Paths step to give each decision its own follow-up action. Create three paths, each with the condition Decision → (Text) Exactly matches, followed by Qualified, Nurture, or No Fit. Then set up an action for each path:

Qualified: Choose Slack → Send Channel Message. Select a channel, write a short message, and map the Reason and Summary fields into it, so your sales team knows which leads to follow up with.
Nurture: Choose Google Sheets → Create Spreadsheet Row. Select your own copy of the Nurture leads sheet from the preparation steps, then map the relevant fields so each lead is saved with a reason and recommended follow-up timing.
No Fit: Choose Gmail → Create Draft. Use Thanks for your time as the subject line and map the Email output from your AI step to the message body. Leave the recipient blank for now. You can add it when you review the draft in Gmail.

Step 5

Publish your workflow and see it in action

Before publishing, test each path to make sure the right action happens for each decision. Then click Publish to turn on your Zap. From now on, new meeting notes added to your Qualification calls folder will automatically trigger the right follow-up action in Slack, Google Sheets, or Gmail.

Keep an eye on the first few results to see if the AI makes the right decisions. You can always adjust your criteria and improve the workflow as you go.

And remember, this is just one way to build it! Zapier connects to over 9,000 apps, so you could also send qualified leads to your own CRM or notify your team in Microsoft Teams instead of Slack.

Stuck

Stuck? Here’s what to try:

If your call isn't going down the right path, check the AI step's test result. Does the Decision field return exactly Qualified, Nurture, or No Fit? Even a typo or an extra full stop can prevent a match if your path uses the Exactly matches condition. Check your path conditions, adjust your prompt if needed, and test again. Still stuck? Just reply to this email. We're happy to help.

YOUR TURN

Make it your own

Now it's your turn! Adapt this workflow to your own meetings, swap in your own criteria, or connect your favorite tools. Experiment with different scenarios and discover how this workflow can make your daily work easier. We'd love to hear what you come up with, so let us know how it goes.

Share what you built

We hope this week's build helps you spend less time figuring out what happens after a meeting and more time to move things forward.

Keep building,
